The Cataloging Department supports the teaching, research, and service missions of Frazar Memorial Library and McNeese State University by providing bibliographic access to the collections housed in the main stacks, Reference,  Curriculum Materials Center, Farrar Hall, Government Documents, Specials Collections and Archives, and the Performing Arts Library, Shearman Fine Arts Hall. To accomplish this goal, the Department strives to:  

Create, organize and maintain accurate and comprehensive bibliographic data for all Library materials.

Follow recognized national and international standards for cataloging.

Remain current in bibliographic and technological advances.

Insure maintenance of quality through continuing education and training.

Insure efficiency by examining existing procedure and possessing a willingness to institute new procedures and technology when appropriate.

Create and maintain a harmonious atmosphere with other Library Departments and the University.

When searching Authority File via Connexion, 100 field always acceptable ; 400 field not used.

AUTHORITY WORK

The head cataloger gives the Assistant Catalog Librarian a report from MARCIVE. The first page has a list of deleted authority headings. These headings are actually in a suppressed status in WorkFlows.  Look these authority records up in WorkFlows by ID number. Then look up the headings in Cataloging WorkFlows to see if there are any bib records associated with them.

If there are no bib records, delete the authority record.

If there are bib records, find the valid form and change the heading in the bib record.

The Validate Headings helper may find some of them in the authority file. If not, check the LC Authority File using SmartPORT or check the authority file on OCLC. Import a new authority record if found.

If no new authority record is found, you may create one in WorkFlows. Start by using the Validate Headings Helper with the bib record and then the Propose Authority button. Then delete the suppressed outdated authority record.

For the rest of the report, check to make sure the REVISED/CHANGED authority records caused a heading change in the corresponding bib records. If not, make the change using the Validate Headings Helper in WorkFlows. Ignore the other authority records on the MARCIVE report.

BOOKS, GENERAL PROCEDURES

Search WorkFlows for an order record.

If the order record is a complete bib record from LC, examine it and edit if necessary.

Click OK.

Go to the Telephone Wizard and click OK to create the copy.

If there is an XX call number showing here, go to the Modify Item Wizard, Vol. Copy screen and type in the LC call number. Change the class scheme to LC.

Change the date cataloged to Today. Can do this under the Control tab.

If the order record is not a LC bib record, look for one in the LC MARC database or OCLC. Find the best bib record available. Check all the headings and the call number before using SmartPORT to bring in the record.

When SmartPORTing, use the replace option.

After the bib record is in WorkFlows, edit as necessary, then hit OK. Then use the Telephone Wizard to create the copy.

Change the date cataloged to Today.

For multi-volume sets, create a MARC holding record.

The 852 |c should be the same as the home location.
e.g. REF, STAX, SPEC
866 41 v. 1-4

If no bib record can be found in LC MARC or OCLC, do original cataloging in OCLC and then use SmartPORT to import the record into WorkFlows. Remember to use the Replace option to overlay the order record. Then proceed as usual.

BOOKS ACCOMPANIED BY AUDIOVISUAL MATERIAL

Catalog as a book with the AV described in subfield of the 300 field.

The AV item will be shelved separately at Circulation.

The Cataloging Department has cases for computer disks and DVDs.

The library assistant has proper containers for videocassettes and floppy disks.

The AV item is treated as a separate volume with its own call number.

Use the Add Volume and Call Numbers wizard to add a call number for the item. Use the type, home location, and label that goes with that category of media.

The library assistant in cataloging will place a sticker on the book indicating the AV tem is at Circulation.

For books going into the Archives office area:

CATALOGING ARCHIVAL COLLECTIONS

Use MARC worksheet to do an original input in OCLC. Use the Mixed Materials Format in OCLC.

The call number goes in an 099 field and is entered as follows, as an example:

CATALOGING CLASSIFIED SERIALS

These materials come from Collection Management rather than Serials, and receive an LC call number.
The procedure is the same as for books with the following exceptions:

The class scheme should be LCPER.
Always create a MARC holding statement.
Make the Type “Book” so it will circulate.

If the item is going to Special, the Type is “Book-Spec”, the home location is “Spec”, and the item does not circulate.

CATALOGING MCNEESE THESES

Do an original input in OCLC. Use the Books Format. The type in the fixed field should be “t.” The encoding level is “K.” The country of publication is xx.

The call number is in 090 and is structured like this:
LD3141.M564 T4 |bChem. 2005d

The “Chem.” is an abbreviation for the field of study. The small “d” after the date is the first letter of the author’s last name.

After SmartPORTing and creating the copy:
Type = Thes-Stack
Home location = Stax
Circulates.
LC is the class type.

There are 2 extra copies. Class type on these is ASIS. Add as volumes. The extra hard copy will go to Archives.

The “b” is the cutter for the author’s last name.

ELECTRONIC JOURNALS

Follow the pattern for the Project Muse titles. Search “Project Muse” as a title or author to bring up the list. Look at one as an example. The cataloging procedures are mostly the same. Here are some exceptions which you can see on an example from the list:

There is no 300 field.
There is a 710 field for Project Muse.
There is a 730 field for Project Muse.
There is an 856 field with |u for the Internet address URL.
The call number is See Electronic Address.
The class scheme is ASIS.
The type is E-Journal.
The home location is INET

JUVENILE FICTION AND NON-FICTION
 
Catalog and processed by the Library Specialist II with assistance from professional catalogers as needed for special situations and original cataloging.

Library = LAMNEDUC
Material type = JUVFIC for fiction items
Material type = JUFNFIC for non-fiction items

Process like all other books with the following exceptions:
Classification scheme = Dewey Decimal latest full edition
Easy books= E plus the first three letters of the author’s last name.
Young adult fiction = Fic plus the first three letters of the author’s last name.

For items using an actual number from the Dewey schedules, use the base numbers assigned by LC going up to the second dividing point.

Example:
398.2/4/0973 the call number would be 398.24 plus the first three digits of the author’s last name. Decimal classed call numbers will also have a lower case j added to the call number for labels only.

Example:
 j/398.2./SEU such that line by line it will look like this on the label:

Biography:
Use “92” to mean biography and then add the first three letters of the person the book is about. A biography of Abraham Lincoln written by Carl Sandburg would have a call number of: 92/LIN. The spine label for this book would be:

Items in the LIBSNC location, add Lib.Sci. to the label using the 049 field and stamp them Non-Circulating on the front fly-leaf.

Do not use cards or pockets on any items sent to the Curriculum Materials Center in Farrar. Stamp the fly-leaf with the stamp that indicates the item circulates for only 7 days.

On scores with parts, make additional labels for the parts such that a call number label can be placed on each part. Also place scores with parts in some sort of envelope such that the conductor’s score and parts can be kept together as a unit. Use the acid free envelopes available from the archives department or standardized clasp envelopes.

Place a pocket and card with each item so they can be manually circulated except the items placed in the MUSCNC location. These are items such as the Grove’s musical dictionary that is not to be circulated. Other items will be designated as needed by the staff of the Performing Arts Library.

When processing the music CDS place the call number label at the left hand corner of the bottom of the case. Also use clear plastic pressure-sensitive pockets. Place a pocket and card on each CD so they can be manually circulated by the Performing Arts Library. The extra card/pocket label that is generated from the label program, DO NOT place it on the clear pocket since that will cover essential information about the disc. Place it on the front of the case such that it does not cover essential information about the title.

UNCLASSIFIED PERIODICALS

Receive the Serials Alert File once a week. Look through it for new titles, title changes, withdrawn titles, and changes in holdings.

For new titles, look for cataloging copy on OCLC or LC MARC.

Use SmartPORT to import the appropriate record if found. Check all headings for non-DLC copy. If an appropriate record is not found, create a record in OCLC and import it using SmartPORT.

Once the record is in the catalog, create a copy. Change the call number to “Shelved by Title.” The class scheme is Alphanum. The type is “Serial” for print serials. The type is “Microfilm” or “Microfiche” for those formats. The home location is “Ser” for all three. All three are marked “do not circulate.”

Create a MARC holding statement:

If some or all the holdings are on film or fiche, indicate as follows:

41 v. 1 (1990)- |zon microfilm
or ...
41 v. 1-5 (1990-1994) |zon microfilm
866 41 v. 6 (1995)- |zon paper

For changes in holdings, edit the MARC holding statement.

For title changes, edit the bib record according to OCLC standards to show the title is dead and the MARC holding statement of the old title to close it off. Add a 785 field to trace the new title. Find or create a bib record for the new title and process like a new title, but make sure there is a 780 field to trace the old title.

To withdraw an unclassified periodical:
Delete the MARC holding record.
Delete all volumes except the last.
Change the barcode on the last to an auto-generated item record.
Change the home location to Withdrawn.
The call number should indicate Shelved by Title without any volume or numerical addition.  Cancel the holdings on OCLC.

Barcoding unclassified periodicals:
The library assistant in cataloging barcodes the print periodicals.
An assistant catalog librarian barcodes the microfilm and microfiche periodicals.
For the first barcode, go to Modify Title in WorkFlows.
Add a volume and/or date designation to the Shelved by Title call number.
Change the auto-generated barcode number to the actual number on the barcodes which are placed on the piece.
For the next volumes, go to the Add Volume Wizard in WorkFlows and use the Add Call Number icon.
