Donations to the Library
Policies and Procedures
Gifts and Donations Policy
The Frazar Memorial Library deeply appreciates and
gratefully acknowledges the generous gifts of books and
other materials to the Library by faithful supporters of
McNeese State University and the Frazar Memorial Library.
The utility of materials donated to the library is governed,
however, by four concomitant factors:
- Intrinsic worth of the material donated
- Usefulness of the material for supporting the
University's curricula
- Extent to which the library already has adequate
material on the subject
- Physical condition and reliability of the information
therein
Therefore, our acceptance of all gifts must be with the
understanding that, once received, they become the property
of the Library, and the librarian(s) in charge of collection
management of the appropriate department(s) shall make the ultimate decision as to how the
materials are used. Materials unsuitable for the
collection may still benefit the Library by generating
revenue in the annual Friends of the Library Book Sale.
In all cases, the library will offer to provide an official
acknowledgement of receipt which can be used as support for a
tax deduction. However, the Library is unqualified and
therefore prohibited from providing estimates of value or
value appraisals of materials accepted as donations.
Types of Donations Accepted
Commercially Printed Donations
Donations of commercially printed
material such as books, CDs, and periodicals are welcome
with no reservation, save that they be clean and usable.
Materials that do not suit the collection will be donated to
the Friends of the Library for their
Annual Book Sale.
Donations of Original Works
Donations of original works, such as
photographs, non-commercial audio tapes, musical scores,
manuscripts, and business or organization records will be
routed through the Archives and Special Collections
Department. These donations are subject to the Archivist’s
review and to the guidelines outlined in the Archives and
Special Collections Department policies. Enquiries should
be referred directly to the Archives and Special Collections
Department.
Accepting Donations Procedures
At the Library
Staff should refer donors of original,
rare, or unique works to the Archives and Special
Collections Department.
Other donations can be received by any
individual or department of the library on behalf of the
Collection Management Department provided the
receiver obtains the donor’s name, mailing address, and
phone number and refers the donor to the online donation
policy regarding ownership and use of donated materials.
Journals will be referred to the Serials department but
should still come through Collection Management for
acknowledgement.
Picking Up Donations
On Campus
Professors, administrators, or other on
campus entities may request someone be sent to retrieve
donations to the library. A student worker or other library
employee will retrieve such material subject to the other
provisions of the Donations Policies and Procedures.
Off Campus
All requests for off campus donations
to be picked up will be issued to the Collection Management
Librarian or the Archivist, as applicable, and will be
handled on an individual basis. These will be
accommodated only in very rare instances as we are neither
equipped or staffed for this type of processing.
